When Clarity Hides in Plain Sight

Are you constantly wasting precious minutes of your day searching through files, notebooks, or stacks of sticky notes every time you sit down to work?

Or are you at the point where you’ve just given up — because everything feels so overwhelming that you don’t even know where to start?

If this is sounding like you, I want you to pause for a moment and give yourself some grace.

You’re not lazy. You’re not disorganized. And you’re definitely not failing.

The reason you’re struggling isn’t because you’re a bad person or a bad business owner — it’s simply because you don’t have a visible, working system that helps you see what’s truly going on behind the scenes of your business.

When we don’t have a plan or system to help us stay organized and aware of what’s happening behind the scenes, that’s when the overwhelm and frustration begin to set in.

And here’s something most people don’t realize — the system itself isn’t what makes things easier. It’s how aligned that system is with your brain, your personality, and your natural way of thinking.

What works beautifully for one business owner might completely overwhelm another — and that’s 100% okay and normal. We all need different types of visual cues and tools that help us see what’s really going on.

The good news? Clarity isn’t missing. It’s just hiding in plain sight.

Once you start bringing your work into view — seeing it all in one calm, consistent space — the weight begins to lift. You can finally exhale and move forward with focus.

So then, the first critical step when we’re creating our systems is to make sure they actually align with our brain, our personality, and how we naturally think when we’re planning and processing information — right from day one.

Because when your systems fit you, consistency becomes effortless.

So with that in mind, take a deep breath in and out, and let’s walk through three simple ideas to help you kickstart your backend system reboot.


🌿 1️⃣ Create One Central Home Base

It’s time to ditch the stack of sticky notes, scattered files, and half-used notebooks.

One of the main reasons you’re feeling scattered and overwhelmed is because you don’t have everything consolidated in one central location — what I like to call your hub or command center.

Where you choose to build that hub is completely up to you. I personally recommend using a digital software so it’s easy to update and access anywhere. Over the years, I’ve tried Click Up, Trello, Air Table, Notion, and Asana — all of which offer free plans — but my favorite by far has been Google Sheets.

It’s flexible, fully customizable, and integrates beautifully with other Google Workspace tools like Gmail, Drive, and even my website workflows. But that’s beside the point — what matters most is choosing one platform that feels simple and sustainable for you.

Choose one, stick with it, and don’t worry about it being perfect right out of the gate. Think of it as version one — your draft system. The more you use it, the more you’ll refine it. Over time, you’ll naturally see what needs to stay, what can go, and what helps you keep things visible and moving smoothly in your business.

Your hub is the heartbeat of your backend — the place that allows your brain to finally rest.


🌿 2️⃣ Standardize What You Repeat

I don’t know about you, but when I’m learning how to do something new, it takes me a while to remember the steps — and the only way I can truly learn them is through practice and repetition. But that only works when I have clear, detailed instructions to refer back to.

And the same is true in our businesses. As business owners, we’re constantly learning how to do new tasks. Some we repeat daily, others only once a month or once a quarter. Either way, one thing we should always have in our hub or command center is an ongoing list of SOPs (Standard Operating Procedures) and templates.

For me, I have a dedicated table inside Google Sheets that houses all my Google Docs SOPs — from how to use my custom ChatGPTs to how to transfer ownership of a doc or sheet to someone else. Then I have another table for all my templates, like my ongoing document for YouTube videos.

Each video has its own tab, built from a master template that I simply duplicate every time I create a new episode. Inside that one spot, I paste all the links, YouTube descriptions, podcast show notes, blog post copy, and social media captions for that episode.

And within my Podcast/YouTube database, I also include a simple status dropdown so I can track exactly where I am in the process — from Need to Create Script, Script Finalized, Need to Record, Recorded, Need to Finish YouTube, Podcast Show Notes, and Blog Post, to Scheduled/Published.

This quick visual cue lets me know exactly where each project stands at a glance. No second-guessing. No mental juggling. Just calm, visible clarity.

Anything you do regularly deserves its own template — because these small systems prevent you from reinventing the wheel every week. That’s where real freedom begins.

Your version might look different, but the goal is the same: create calm through repeatable structure.


🌿 3️⃣ Make It Shareable

Even if you don’t have a team yet, prepare for the day you will.

As business owners, most of us start as a team of one — doing everything. From invoicing and creating content to managing emails, blog posts, videos, podcasts, and programs, we wear every hat in the business.

But as we grow and begin serving more clients, we eventually reach a point where handing off certain tasks isn’t just helpful — it’s necessary. Delegation allows your business to run more efficiently without adding extra stress or overwhelm.

That’s why it’s so important to start making everything accessible and shareable now, even before you’re ready to hire. Setting things up this way will save you countless hours of stress later, because when that time comes, your systems will already be ready to go.

Personally, I love having everything organized in Google Sheets because I can easily add team members to my hub. And since all my templates and SOPs are housed there, new team members can instantly find everything they need — whether it’s brainstorming content ideas, scheduling posts, or completing any other task.

Everything lives in one central, visible place, so nothing gets lost and no one has to guess what to do next.

Documenting your processes now — how you post, follow up, schedule, or deliver — makes future delegation smooth and stress-free. It gives you peace of mind, builds confidence, and allows your team to take ownership with clarity and trust.

Because delegation isn’t about giving up control — it’s about creating trust.


🌷 Small Anchors of Consistency

You don’t need a massive system or fancy software. You just need small anchors of consistency that help your brain rest.

A simple hub.
A reusable template.
A documented workflow.

Each one is a quiet form of self-support — a reminder that your business doesn’t have to live entirely in your head.

And when your systems become visible, your clarity comes back into view.

Look, I know it’s easy with all the “fancy tool options” out there to get caught up in the rabbit hole of thinking you need this or that before you can really move forward — but the reality is, you don’t.

You just need one simple hub, one reusable template, and one documented workflow to support you so your business no longer lives only in your head.

Visibility equals clarity.

The more visible you can keep your business, the more clarity you’ll have on how to scale and grow toward your entrepreneurial goals — calmly and confidently.
